Mini-Grant Application
HVRHS ALUMNI ASSOCIATION MINI-GRANT PROGRAM

From time-to-time teachers, staff, advisors, and coaches encounter situations where a student in need of academic materials or sporting equipment does not have the financial resources to acquire the item(s).
This might be a student needing art supplies, technology/computing items, a pair of dancing shoes for the musical theatre, a good tennis racket, a short course seminar, tools for an agriculture course, a calculator for advanced math, materials for a capstone project, etc.
The HVRHS Alumni Association mini-grant program enables a teacher, staff member, club advisor, or coach (Sponsor), in consultation with the student, to submit a simple one-page request for support. The request would specify the item, the purpose, and the cost, up to $250.
The mini grant might not cover the full cost of the item(s) needed. The mini-grant program is initiated by the Principal’s Office and will be rolled out by the principal as faculty, staff, advisors, and coaches are oriented at the beginning of the academic year. The completed application comes to the principal, who transmits it to an Alumni Board mini-grant review committee for consideration.
To be effective, the mini-grant application will require prompt consideration and action. The steps are as follows.
1. Principal receives completed and signed application, ascertains validity and transmits it to Alumni Board mini-grant review committee.
2. A two-person Alumni Board mini-grant review committee considers for approval. (Patricia Mechare and Gary Davis. Alternate: Keith Marks)
3. The review committee informs the student and the sponsor of the approval/non-approval, and the amount and any conditions of approval.
4. The student acquires the approved item(s) via:
Student makes a direct purchase (cash, credit card, check) and submits receipt for reimbursement.
Student family member, or other supporting person, makes a direct purchase (cash, credit card, check) and submits receipt for reimbursement.
Student is directed to pre-approved school vendors for the item(s). Alumni Association reimburses the school for purchased items.
Periodically, the Alumni Association Board would affirm the actions of the mini-grant review committee and the related expenditures. The Association will pilot test the program for the 2025 -2026 academic year. (7/21/2025)
